Executive Assistant to the CEO

The Executive Assistant to the CEO will provide full administrative and secretarial support to the Chief Executive Officer. The Executive Assistant manages schedules, travel arrangements, meetings and correspondence, and handles select projects as assigned. Additionally, the Executive Assistant is responsible for the broad support and functioning of the Executive Office, works as a member of the Executive Office and helps manage the day-to-day tasks of the Executive Office.

RESPONSIBILITIES

Roles and Key Responsibilities

  • Coordinates activities for CEO including all schedules, correspondences, files, projects, meeting minutes, etc.
  • Manages and supports all-company events calendar and emails including sending meeting invitations.
  • translations and liaising with other departments for scheduling and coordination
  • Coordinates internal and external meeting requests and scheduling including Outlook calendar management, conference calls, travel arrangements, etc.
  • Processes travel expense reporting and reimbursements.
  • Assists with planning and coordinating the logistics of meetings and conferences.
  • Produces spreadsheets and reports as well as Power Point and other presentations for meetings and working sessions.
  • Prepares the Executive Office budget and monitors expense reports; works with Finance to investigate and resolve any questioned expenses.
  • Maintains up-to-date contact information of staff in the organization.
  • Oversees & maintains the Executive Office One/google Drive
  • Coordinates receptions, business and special event activities, as assigned.
    Initiates and processes meeting requests and scheduling by maintaining CEO’s Outlook calendar.

 

QUALIFICATIONS

Basic Qualifications

  • Bachelor’s degree
  • 3 years of relevant experience, some of which should be with senior management.
  • Strong organizational skills, attention to detail and ability to multi-task
  • Excellent interpersonal and oral/written communication skills
  • High degree of proven proficiency in MS Word, Excel, PowerPoint, Adobe Acrobat Pro/DC, and SharePoint
  • Works well under pressure, handles demands of multiple people and prioritizes
  • Consistently produces high quality, accurate work in an efficient and timely manner.
  • Exercises good judgment in decision-making.
  • Maintains confidentiality of sensitive information.
  • Demonstrates high degree of initiative and is proactive in seeking and undertaking work assignments.
  • Proficiency in English
